Psychological foundations (PsyF) and quantitative methods in education (QME) information

Staff

The support staff is here to make sure that the area functions smoothly and that department, faculty, and student needs are met. Staff offices are located in 206 Burton. Staff members are:

Onos Ogbon, Ed Psych executive office and administrative specialist, 206 Burton, 624-6083. Onos provides reception and administrative support to the department. Onos will be able to help you obtain permission numbers for course entry, process grade reports and grade changes, etc. She will also be able to help you obtain faculty office hours, schedule conference rooms (240 & 329), and send materials out for copying.

Sharon Sawyer, executive office and administrative specialist, 206 Burton, 624-0042. Sharon coordinates textbook ordering, course packets for courses, and obtains desk copies of texts for faculty and TAs. She coordinates the fall orientation and can answer questions about admission to PsyF/QME, change of status, and re-admission. She can also answer questions about the written prelim exams in PsyF/QME.

Lori Boucher, PsyF/QME secretary/office supervisor, Room 206F, 624-4540. Lori handles course scheduling and staff assignments, coordinates TA hiring and payroll, and acts as secretary to the PsyF/QME coordinator.

Mail

PsyF/QME student mailboxes are in the hallway in 210 Burton. Check your box regularly because we often use them for important announcements about job opportunities, course changes, etc. Please note that these boxes are small. If you are expecting a package that won’t fit, please let a staff member know. S/he will hold the package for you. Please limit the number of personal packages that are sent to your office address.

Telephones

There are telephones available for PsyF/QME students in the 205 suite, 211 suite, outside Room 210J, and on the 3rd floor. Please use these phones; do not ask the staff if you can use an office phone. Direct others (not PsyF/QME students) to the campus phone outside Room 211.

If you have a teaching assistantship, you may give out the TA phone number to your students. If the phone is not answered (by you or another student in the area), the call will be forwarded to the receptionist; s/he will take a message and leave it in your mailbox in the hallway in 210 Burton. Please keep personal calls to a minimum. You cannot make long-distance calls from student phones. If you have some work-related, long-distance calls to make, please ask a staff person to make arrangements for you.

Typing and duplicating

As part of your TA assignment, you may need to have materials typed or duplicated. So that staff clearly understand your expectations, please fill out a “Work Request Form” (in 206 Burton) completely, including specific times and dates for deadlines. (Allow 48-72 hours for typing lengthy course materials; 24-48 hours for duplicating.) “ASAP” is not considered sufficiently specific for a “Time needed.” You must give a date and time for duplicating (either 9:00 a.m. or 2:00 p.m.). Also note on the form how you can be contacted with questions or problems and whether or not you will want to see the material again before it’s sent for duplication.

Please avoid last-minute requests for copying. (Not only are these requests inconvenient, they are also expensive. If you give us 24-hour notice on copy jobs, we are able to send materials to an outside copy center and save $.04 per copy. Copying is sent out and delivered to 206 at 9:00am and 2:00pm). However, if you find yourself in an emergency situation, see a staff person for assistance. PsyF/QME teaching and research assistants do NOT have access to any copiers in Burton Hall. Staff members are not available for personal typing during office hours. All registered students also have free access to the computer labs on campus.

Computers

The department has three computers on the 3rd floor of Burton Hall available for student use. These computers are not connected to printers. There is a computer available for TA coursework in the 205 suite and on the third floor of Burton Hall. We do not have a reservation system but we ask that you limit yourself to a two-hour block of time. If there are machine, software or supply problems, see a staff member in 206 Burton. Please do not ask to use staff computers.

Private laptops can also connect to the network via the U wireless network. Wi-fi blankets the 3rd floor of Burton Hall and numerous places on campus.

Printers

A printer is available in 206 Burton (the mailroom), 7:30 am – 4:30 pm, Monday-Friday, for use by Ed Psych graduate students who have a need to print materials related to their work as either an RA or TA in Educational Psychology.

Eligibility:

  • You must hold a current salaried position as either an RA or a TA in the Department of Educational Psychology, or be employed on a grant housed in Ed Psych.

Guidelines:

  • Access to the printer is limited to print jobs that are directly related to your appointment as either an RA or TA in the Department of Educational Psychology

  • Any personal or non-job related professional development printing will need to be completed at one of the public computer labs or libraries located on campus, or at home.

  • Inappropriate or excessive use of the printer could result in the loss of printing privileges.

How to gain access:

  • You will need to request and be approved for setup in the system. The request form is located at this link: <http://intranet.education.umn.edu/EPsy/prn_access.pdf>. Hard copies of the form can also be found in the 206 Burton mailroom.

  • The signature of the faculty supervisor, program secretary, or PI will be required to verify eligibility.

  • Submit the form to a staff member in 206 Burton.

The printer access system will need to be updated each semester, requiring grad students to submit a new request for each semester of employment. To maintain uninterrupted printer access, there will be notifications from program areas providing the date that all requests need to be submitted before cutover.

Office assignments and keys

Graduate students who hold teaching assistantships will be assigned a shared office. Office assignments are made, on a space-available basis, and you may be sharing a desk with another TA/RA.

You will be given a key to your office. You will not have your own building key, but you may sign one out for evening or weekend work. See a staff person in 206 Burton if you want to borrow a building key; be sure to return it promptly.

Please be aware that we do not have a means of opening office doors after 4:30 on weekdays or anytime on weekends or holidays. That is to say, should you lock yourself out of your office, there is no one who can let you back in. The University police and the night facilities staff will not accept the liability of letting you in. While this situation does not occur frequently, the consequences of being locked out of one’s office can be rather dire. Thus, you need to plan for this type of emergency. For example, should you find yourself locked out of your office without your car keys or money, you may need to take a cab home. In that case, you would want to be certain that you have a means of getting into your house (e.g., keyless entry, key left with a neighbor, key hidden somewhere) and that you have money in your house to pay for the cab.

Office hours for TAs

By the end of the first week of the term, notify Onos what your office hours will be. [This is usually accomplished by giving her a copy of your course syllabus, which includes your scheduled office hour(s).] She will give those hours out to students (and others) who call. If you cannot be in during your scheduled hours, please let a staff member know what alternate hours you will be available or what other arrangements can be made.

Grades

If you are responsible for assigning or recording grades, you must submit the grades online at onestop.umn.edu/onestop/faculty/Grades/FinalGrades.html. Paper grade reports are no longer distributed. Only faculty members, not TAs, have access to submit grades online. You may begin submitting grades the week before finals week, and a memo will be sent out two-three weeks prior to finals week which indicates the deadline for submitting grades and guidelines. Make sure you meet the deadline for turning in grades. You may download a class list from www.umreports.umn.edu into an Excel file and upload this file into the grade report. Indicate for your students whether or not you will post grades and, if so, where.

It is the course instructor’s responsibility to determine whether or not students will be notified of their grades, prior to the posting of grades to the U of M One Stop Web site. Staff DO NOT give out student grades – either on the phone or in person. If the instructor decides to post grades, University policy requires that grades be posted by a random number (not by social security number, student ID number or in alphabetical order). Do not tape grades to the walls in Burton as it damages the paint. Staff will refer inquiring students to the posting or, if they are not posted, to the instructor. If the grades are not posted and the instructor is not available, students requesting grades will be advised to consult the U of M One Stop “Grades” web link or to send a stamped, self-addressed envelope to the instructor so that they can be notified of their grade by mail.

Supplies

See any one of the staff to request supplies. Because our supply budget is limited, the staff is responsible for monitoring supplies; a staff member may question you, or ask for authorization from the faculty member you’re working with, if you make a large or unusual request. Please don’t take this personally. [We consider standard supplies to be: paper, pencils, pens (red and black ball-point), grade books, blue books, diskettes (in some instances), staples, paperclips, and file folders and labels.]

Listservs (electronic mailing lists)

PsyF listserv
The Psych foundations e-mail listserv will be the primary vehicle in which important information is delivered to faculty and students. All PsyF/QME faculty and students are automatically subscribed as members to the psych foundations e-mail list. The e-mail list will be used for official announcements from PsyF/QME, seminar/event announcements, job/TA/RA postings, and discussion relevant to PsyF/QME or research.

Student listserv
The student listserv will be used for communications from the student representatives to the students and informal discussion among the students in the psych foundations and QME tracks.

Ed Psych Department listserv
A listserv has been developed for EPsy students to receive the latest news from the DGS/Dept. regarding changes in requirements, research opportunities, assistantship/fellowship postings, alerts on HOLDS to student records, workshops/colloquia/conferences, etc. As a PsyF/QME student, you will automatically be subscribed to the listserv since you are responsible for knowing not only what is included in the EPsy Student Handbook but all updates which will be distributed through the listserv.
